Let it Flow
At the heart of VRS lies the Workflow Service.

It’s a powerful pro-active manager that helps integrate the core product elements and makes sure the entire production process works to deliver the correct output on time.

Because it’s client driven, workflow understands exactly what’s required for VRS to complete a report to meet your deadline. It has direct access to the users and system components whose input and actions are required for successful delivery. This automated system has the intelligence and capability to automatically generate prompts and reminders for users who have outstanding tasks or sign-offs and the ability to escalate problems to team members or managers.

Schedule Definitions
As VRS is fully integrated, there is little for schedule managers to do other than to decide which client account deadline should be included in the schedules; VRS will then work out the rest – deciding if tasks such as manual input or data sign-off are required and when – all scheduled to run at the right time with the right owner.

But if you decide you want something different within your schedule this time around then you can. All schedule tasks are fully editable and can be enhanced with additional tasks if necessary.

Workflow Tasks
Tasks can be set to appear only in the User Task List, or can be emailed out to the users to remind them.

If data is detected to have a problem through VRS data validators’ then workflow tasks can be made to highlight this and force a manual exception review to occur. These validation warnings are also made visible in the final reports to ensure that report readers are aware of them before they distribute the documents.

Custom Schedules
If the default task scheduling doesn’t work for your environment, then VRS can be customised to shape the schedules to the way you need.

Active Management
Managers use the Workflow Dashboard elements to monitor the progress as the workflow engine moves the tasks along.

Managed Escalation
If tasks are not completed in time to allow the reports to each complete in time for meeting their SLA, then tasks are escalated to the group managers and then on up to the schedule owners. Escalated tasks can then be chased or reallocated.

If a client or fund manager wishes to see where their reports are in the process, VRS users can see this immediately using interactive screens that can show them what they are waiting on upstream and what tasks are completed (and when) downstream.

Managed Distribution
The Workflow Service ensures that reports have fully completed without errors. It also ensures that reports are signed-off by the appropriate user/recipient before they are finally released for distribution.

When a reporting deadline is defined the user will also be prompted for the preferred delivery method and sign off details.

FTP distribution can be used to either deliver the report to a client portal for clients to come in and collect, or it can be used to collate batches of reports ready for delivery to the company print shop for fulfilment.
